Open the student conversation you have access to, exchange messages or media, and review replies, delivery and read status. If you agree to change a lesson time, update the calendar afterwards; the chat agreement does not automatically edit the appointment.
Resolve a specific question in the student conversation
Before a lesson, for example, the agreed meeting point is unclear. Staff opens the appropriate student conversation and asks there; the student can reply in the channel once it has been opened. Text and, where useful, an image keep the discussion available for reference rather than relying only on a verbal message. This requires a connected student account, appropriate conversation access and a working connection. If the agreement changes the time or schedule, also edit the appointment. A chat message does not change the calendar entry by itself.
Distinguish message status from an actual reply
You have sent a question and want to know whether it still needs follow-up. Open the conversation and review delivery or read status together with the student’s reply. This helps distinguish a response already received from a question still awaiting clarification. For a proposed appointment change, for example, you need a meaningful reply before relying on the new agreement. The conversation must be available and the connection working. A read status alone does not confirm a changed appointment or establish that the underlying task is complete.
Check conversation access before handing over a question
If a covering colleague takes over a question, they should be able to refer to the existing conversation. Check who can open the student’s chat before handing over the work. Instructor access to assigned students and the school-wide management view serve different purposes. The visible conversation helps identify the latest message and the unresolved point. The management interface currently requires full school access; separate restricted office logins are not available yet. Agree responsibilities during beta onboarding rather than assuming that covering a colleague automatically grants conversation access.

Does agreeing a change in chat also change the calendar?
The conversation and appointment edit are separate steps. Once you agree a change, also update the calendar and review the appointment there.
Can a covering instructor automatically open every student conversation?
No. Conversation access depends on assignments and permissions. Check access before handing over the question; the school-wide management view differs from an instructor’s regular access.
