Set the calculation inputs before interpreting costs

A consumption figure alone does not tell you what a drive costs under your school’s assumptions. Check the vehicle association and enter the relevant tank or battery capacity, wear allowance and school-wide energy reference values. Suitable level and distance readings can then be converted into consumption and estimated costs. For example, add an electric vehicle’s battery capacity before reviewing its figures. The calculation reflects those inputs. Available telemetry and sensible settings are essential; the estimate uses your chosen assumptions rather than a separately measured fuel purchase or charging bill.

Review vehicle and student journeys in their cost context

To understand an unusual estimate, you need to connect it with the drives recorded. Open the vehicle analysis or the student’s drive costs and review consumption alongside estimated energy and wear components. For example, check the underlying drives before comparing two vehicles. The view makes existing journey data readable using shared reference assumptions. Vehicle associations and comparable data are essential. The closed beta cost view covers part of vehicle operating costs; it does not provide a complete account of staffing, financing and other expenses associated with running your school.

Treat missing figures as gaps in the calculation

A dash in the cost view means something different from a calculated zero. If a capacity or matching reference value is missing, review the indicated gap and supply the input before interpreting the amount. Available cost components can still be calculated while others remain unavailable. For example, distance may support a wear estimate even when energy consumption cannot be determined. You are then seeing only part of the calculation. A meaningful overall estimate requires the relevant inputs; missing data is not evidence that a drive was unusually cheap.

Frequently asked questions

Why do older estimates change after I update reference values?

The analysis recalculates using the current vehicle settings and energy reference values. Changing them can therefore alter estimates for earlier drives. The view provides a current estimate, rather than a fixed historical receipt amount.

What happens to estimated consumption after refuelling during a drive?

If the recorded end level exceeds the starting level, that change cannot supply consumption for the drive. That component remains unavailable. Other components, such as distance-based wear, can still be calculated when their inputs are present.
